About the position

The Executive Assistant at Broward College will operate under limited supervision, providing a diverse range of support activities for the Central Student Services Advising department. This role requires specialized knowledge and comprehensive administrative, organizational, and operational skills. The Executive Assistant will be responsible for participating in operational planning and coordinating the development and administration of departmental operating policies and procedures. Key duties include managing day-to-day operations such as answering phones, assisting visitors, preparing departmental requisitions, disbursements, and purchase orders, and communicating with outside vendors. The Executive Assistant will also create and prepare correspondence, schedule meetings, assist with project planning and research, prepare travel arrangements, and process payroll. This position is crucial in ensuring the smooth operation of the department and requires a proactive approach to problem-solving and communication. Eligible veterans and their spouses may claim Veterans' Preference in accordance with Florida Statute 295, and certain servicemembers may qualify for waivers regarding postsecondary educational requirements. Applicants claiming preference must provide the necessary documentation at the time of application.

Responsibilities

  • Oversee and perform a range of diverse administrative activities for the department or organizational unit.
  • Serve as a central point of liaison with other departments and external constituencies in resolving day-to-day matters.
  • Create, compose, and edit technical and administrative correspondence and documentation.
  • Assist in administrative problem solving, program/project planning, and execution of stated goals and objectives.
  • Respond to inquiries requiring a general understanding of work-area policies and procedures.
  • Sort and distribute mail and materials within the office.
  • Provide support activities such as answering telephones and assisting visitors.
  • Establish, update, and maintain unit's files, inventories, and records.
  • Schedule complex appointments, meetings, and travel arrangements.
  • Perform other related duties as required.

Requirements

  • Associate's Degree required; Bachelor's Degree preferred.
  • Five years of administrative, office, or related experience required.
  • Prior light bookkeeping and office management experience desirable; administrative support experience preferred.
  • Excellent organization and administrative skills required.
  • Ability to communicate accurate information to vendors and relate with a highly skilled staff.
  • Ability to multi-task is essential.
  • Knowledge of basic bookkeeping principles and office management best practices preferred.

Nice-to-haves

  • Knowledge of Microsoft Office products required.
  • Experience in training and coordinating work of lower-level office support staff, student employees, and/or temporary staff.

Benefits

  • Salary range of $41,262 - $47,451, commensurate with education and experience.
  • Full-time regular position with a 40-hour work week, Monday to Friday.
