About the position

The Core Entertainment is seeking an experienced Executive Assistant to support the CEO and Founder of the company. This role is based in Nashville, with some travel required to Los Angeles. The ideal candidate will possess strong attention to detail, a solid understanding of basic business practices, and excellent oral and written communication skills. In this role, the Executive Assistant will manage the CEO's business calendar, schedule internal and external meetings, submit expense reports, and coordinate travel arrangements. The assistant will act as a point of contact for the internal team, clients, and external partners, ensuring smooth information flow and coordination of logistics for meetings. Responsibilities also include drafting committee and leadership agendas, preparing agenda materials, and attending leadership meetings to record minutes and finalize resolutions. The Executive Assistant will handle extensive domestic and international travel arrangements, manage artist calendars, and provide on-site support at company meetings and events. Additional tasks may include purchasing supplies for meetings, authorizing payments for travel and training, and performing personal errands for C-level executives as needed. The role may also involve providing administrative support for special projects across the CEO's span of control.

Responsibilities

  • Manage the CEO's business calendar and schedule internal and external meetings.
  • Submit expense reports and coordinate travel arrangements for the CEO.
  • Act as a point of contact for internal teams, clients, and external partners.
  • Draft committee and leadership agendas and prepare agenda materials.
  • Attend leadership meetings, record minutes, and finalize resolutions.
  • Prepare extensive domestic and international travel arrangements.
  • Manage and maintain artist calendars, coordinating A&R/studio sessions and promotional activities.
  • Participate in company meetings and events as on-site support.
  • Purchase supplies for meetings and authorize payments for various expenses.
  • Perform personal errands and tasks for C-level executives as required.

Requirements

  • Bachelor's degree in Business, Music, Marketing, Communications, English or related subject preferred.
  • At least 3 years of previous executive assistant or high-level administrative assistant experience.
  • Previous experience in the Music or Entertainment industry strongly preferred.
  • Experience with Concur / SAP is a plus.
  • Exceptional attention to detail and excellent organizational skills.
  • Ability to prioritize and multitask in a fast-paced environment.
  • Familiarity with social media platforms such as Instagram, Twitter, Facebook, YouTube, TikTok, and Soundcloud.
  • Proficiency in MS Word, MS Excel, and Google Docs/Spreadsheets.
  • Ability to maintain confidentiality in handling sensitive information.
  • Strong decision-making skills within established guidelines.
