About the position

The Executive Assistant will provide comprehensive support to the Executive Director (ED) of the Homeless Prenatal Program (HPP), a nonprofit organization dedicated to serving under-resourced families in San Francisco. This role requires a highly organized, self-motivated individual with a proactive approach to managing a wide range of administrative tasks. The Executive Assistant will be responsible for calendar management, meeting planning, and relationship management with various stakeholders, including donors and board members. The ideal candidate will have at least 7 years of experience in providing executive-level assistance, demonstrating independence and initiative in executing tasks without direct supervision. In this position, the Executive Assistant will handle confidential information with discretion and will be expected to prioritize conflicting needs while managing multiple projects under tight deadlines. Responsibilities include composing business communications on behalf of the ED, managing the ED's calendar, preparing materials for meetings, and leading special events. The role also involves collaborating with the Development Team to coordinate donor visits and events, as well as serving as a liaison for the Board of Directors, managing logistics for board meetings, and ensuring adherence to organizational policies. Responsibilities

  • Provide high-level administrative support to the Executive Director (ED).
  • Manage and maintain the ED's calendar and schedule, ensuring efficient organization of appointments and meetings.
  • Compose business emails and draft communications for the ED, reviewing documents for accuracy and completeness.
  • Research and prioritize incoming issues addressed to the ED, determining appropriate responses.
  • Lead, organize, and execute special events, meetings, and retreats.
  • Prepare materials for meetings and presentations, including PowerPoint slides.
  • Serve as a point of contact for the ED, representing the organization in communications with stakeholders.
  • Coordinate logistics for Board meetings and events, including scheduling and preparation of meeting materials.
  • Assist in the preparation and execution of team meetings, including agenda creation and note-taking.
  • Support the Development Team in coordinating donor visits and special events.

Requirements

  • Bachelor's degree or advanced degree preferred.
  • 7 years of experience providing executive-level assistance, preferably in a nonprofit or healthcare setting.
  • Strong judgment and ability to handle sensitive situations appropriately.
  • Excellent computer skills, including proficiency in Gmail, Microsoft Word, Excel, and PowerPoint.
  • Knowledge of Salesforce preferred; familiarity with Photoshop and InDesign is a plus.
  • Strong interpersonal and written communication skills with attention to detail.
  • Ability to communicate effectively with diverse stakeholders, including donors and community organizations.
  • Highly organized and efficient, with the ability to work under pressure and meet deadlines.
  • Demonstrated understanding of nonprofit management and relationship building.

Nice-to-haves

  • Experience in project management for at least 5 years.
  • Familiarity with social services and family resource centers.
  • Understanding of the intersection of racism and poverty.
