About the position

The Executive Assistant will provide comprehensive support to the Chief Executive Officer and the management team at SouthWest Transit. This role is essential for managing schedules, coordinating meetings, and ensuring smooth office operations. The ideal candidate will excel in communication, organization, and multitasking, contributing to the overall efficiency of the office environment.

Responsibilities

  • Provide assistance to the CEO, including managing their calendar, scheduling travel, and preparing presentations and reports.
  • Assist in the day-to-day administrative activities of the office, including greeting guests, handling incoming and outgoing mail, and maintaining the professional appearance of the office.
  • Implement and maintain efficient office procedures, ensuring compliance with company policies and standards.
  • Monitor and maintain office supplies and equipment, ensuring cost-effectiveness and timely delivery.
  • Coordinate with vendors and suppliers to resolve any issues related to the procurement and maintenance of office equipment.
  • Plan and implement team activities and in-office events.
  • Provide administrative support to the leadership team, including calendar management, travel arrangements, and meeting coordination.
  • Prepare reports, presentations, and other documents as requested by management.
  • Assist in the preparation and distribution of internal communications.
  • Assist in the recruitment and onboarding process for new employees, including coordinating interviews and new hire orientation.
  • Take notes during commission meetings and other required meetings.
  • Provide general support and assistance to the management team as needed.
  • Other duties as assigned.

Requirements

  • Associate degree in business administration, management, or a related field.
  • Minimum of 4 years of experience in office administration and/or administrative assistance, preferably in a manufacturing or industrial setting.
  • Demonstrated ability to be self-directed, and work independently as well as part of a team.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Strong problem-solving skills and attention to detail.
  • Excellent communication skills, both verbal and written.
  • Proficiency in using office software and systems, including MS Office Suite (Word, Excel, PowerPoint) and email management tools.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Ability to attend commissions meetings outside normal working hours 1-2 times per month.
