About the position

As ADVANZ PHARMA continues to strengthen its position as the partner of choice for specialty, hospital, and rare disease medicines, we have an exciting opportunity for an Executive Assistant. The Chicago Commercial team is seeking an experienced, confident, self-starter to support the office and the US General Manager. This role involves providing executive assistance to the General Manager (GM), USA / GM Pinnacle Biologics, ensuring appropriate planning and organization of workload is achieved. The Executive Assistant will be responsible for delegating tasks for the GM within the appropriate timeframe and to the appropriate standards. Additionally, the role includes managing assigned standalone projects as required by the GM and working closely with the Advanz Pharma US Pinnacle Biologics Teams and next levels in the organization. The position also involves management and assistance with any local financial matters not covered by the group Advanz Pharma Finance team in relation to Advanz Pharma US or Pinnacle Biologics, which contributes to around 25% of the role. The Executive Assistant will coordinate schedules, arrange meetings, and prepare documents and notes proactively ahead of meetings. They will handle correspondence, ensuring full administrative support and timely information is provided to ensure the smooth and efficient running of the GM, USA office. Completing all allocated projects within agreed timeframes is essential, as is ensuring that all queries from employees are promptly and efficiently addressed. The role also supports the wider Global HR Team in onboarding new employees and any HR-related tasks, where appropriate. The Executive Assistant will gain information, study commercial aspects of the business, and generate reports as needed by the executives. Organizing agendas, meeting logistics, taking minutes of meetings, and following up on action points assigned are also key responsibilities. In addition, the Executive Assistant will prepare PowerPoint presentations as required, discreetly provide management with associate feedback on various decisions and announcements, and manage the Advanz Pharma U.S. / Pinnacle Office in Bannockburn regarding vendor maintenance and office supplies. They will coordinate and organize complex international travel arrangements with corporate travel agents, providing the GM with timely and clear travel schedules, ensuring all travel logistics are organized. Responsibilities

Requirements

  • BS/BA completed four-year degree is desired but not essential.
  • At least 2-3 years of Executive Assistant experience in a fast-paced organization, ideally in the pharmaceutical industry.
  • Excellent attention to detail and communication skills, both written and verbal.
  • Confident self-starter with the ability to problem-solve and manage day-to-day workload.
  • Excellent team player with strong organizational skills.
  • A positive and ‘can-do' approach, biased towards finding solutions and embracing change.
  • Learning agility and ‘scalability', with a desire to continuously improve and develop.

Nice-to-haves

  • Experience in the pharmaceutical industry is preferred but not mandatory.
