About the position

Munie Greencare Professionals is seeking a highly organized and proactive Executive Assistant to support our executive team. The ideal candidate will be an exceptional communicator with strong organizational skills and the ability to handle sensitive information with discretion. This person must be dependable with a good work ethic. Must be detail-oriented and a multi-tasker as this is a fast-paced environment. The Executive Assistant will play a crucial role in ensuring the smooth operation of the executive office by managing a variety of tasks and responsibilities that support the executive team in their daily activities. The Executive Assistant will be responsible for creating and editing spreadsheets, controlling incoming and outgoing materials, and supporting operations, accounting, and IT departments. This role involves receiving and sending correspondence and documents, managing accounts payable and income, and keeping files and records of information up to date. The Executive Assistant will also advise managers and leaders on practical work routine issues, collect information, analyze data, and manage a complex agenda of professional meetings, personal appointments, and travel for several individuals. In addition, the Executive Assistant will answer and transfer calls, forward messages correctly, and follow up on inquiries. They will handle incoming correspondence, including emails, memos, faxes, and mail, conduct industry-specific research, and organize important files while preparing supporting documentation for presentations, conferences, and meetings. The role also includes preparing and proofreading reports and other industry documents, keeping office inventory, ordering supplies, coordinating deliveries, and managing supplier contracts. The Executive Assistant will welcome visitors, customers, and suppliers, direct them, note messages, and schedule appointments. They will sort, distribute, and manage electronic messages, respond to requests from agents, and ensure the circulation of information internally, particularly between different departments. Participation in meetings and taking responsibility for their minutes and distribution is also a key aspect of this role.

Requirements

  • 2 years of personal assistant experience
  • Mid-level experience with Microsoft Office
  • Strong organizational skills
  • Ability to handle sensitive information with discretion
  • Exceptional communication skills
  • Detail-oriented and able to multi-task
  • Proficiency in Microsoft Excel (2 years required)
  • Proficiency in Microsoft PowerPoint (1 year preferred)
  • Proficiency in Microsoft Outlook Calendar
