Skyship Services Inc. is seeking an experienced Executive Assistant to support the DHS Customs & Border Protection Tethered Aerostat Radar System (TARS) program. The TARS program leverages aerostat systems to provide persistent surveillance and detection capabilities to the U.S. Government customer across eight different operational sites along the US Southern border, including locations in Puerto Rico, Florida, Arizona, New Mexico, and Texas. The Executive Assistant will play a crucial role in ensuring the smooth operation of the program by providing administrative support and acting as a liaison between various stakeholders. In this role, the Executive Assistant will be responsible for a variety of tasks that include providing backup support to other departments and teams when necessary, serving as the first point of contact for communication between internal and external parties, and greeting clients. The position requires answering phone calls, giving directions, and resolving simple routine concerns. The Executive Assistant will also be responsible for picking up equipment, supplies, and documents, as well as communicating general information to clients and staff members. Additional responsibilities include distributing important materials to relevant parties, scheduling and canceling meetings and appointments, and booking travel arrangements such as airline tickets, hotel rooms, and restaurant reservations. The Executive Assistant will maintain office activity logs, files, and documents, perform routine data entry work, and prepare materials, documents, reports, and correspondence. Timely and professional email communication is essential, as is maintaining office inventory supplies and replenishing them as needed. The role also involves using computers to create presentations, transcribe meeting minutes, and conduct research, while anticipating the needs of executive and managerial staff.
