About the position

Pete and Gerry's Organics is seeking a dynamic Executive Assistant to support the Senior Leadership Team (SLT), which includes the CEO, CFO, CMO, COO, CHRO, CCO, and CIO. This hybrid position is designed for a candidate in the Eastern time zone and involves providing comprehensive administrative support, managing communications, and coordinating various tasks to ensure the smooth operation of the SLT. The ideal candidate will be a problem solver, organizer, and outstanding communicator with a sense of humor and urgency.

Responsibilities

  • Providing administrative assistance to the SLT, including drafting and editing memos, emails, letters, and presentations.
  • Assisting the SLT with presentations, organizing multi-authored materials, and handling version management.
  • Scheduling tasks and coordinating process flow on behalf of the SLT.
  • Managing incoming and outgoing communications, assisting with prioritization.
  • Making travel, meeting, food, and event arrangements for the SLT, including handling expense reports.
  • Planning, organizing, and scheduling meetings, events, and calls with various stakeholders.
  • Engaging in heavy calendar management to coordinate complex meetings.
  • Reviewing and summarizing miscellaneous reports, documents, and research.
  • Conducting vendor research and making recommendations.
  • Coordinating and launching communications campaigns with the executive team.
  • Purchasing and distributing office supplies and materials, processing invoices.
  • Assisting with the maintenance of business records, both electronic and paper.
  • Prioritizing and managing multiple projects simultaneously.
  • Assisting with onboarding of new team members.
  • Serving as a backup to the Executive Assistant to the CEO when needed.
  • Handling special projects and additional duties as assigned.

Requirements

  • High school diploma or GED.
  • Experience in a personal assistant role supporting senior executives.
  • Strong time management skills and ability to meet deadlines.
  • Excellent verbal and written communication skills.
  • Strong organizational and project management skills.
  • Problem-solving, prioritization, and decision-making skills.
  • Proactivity and self-direction.
  • Discretion, confidentiality, and good judgment.
  • Interpersonal and team-building skills.
  • Good business acumen and ability to work independently.
  • Proficient in MS Office, SharePoint, Concur expense reporting, and PowerPoint.
