Blue Bird is transforming the student transportation industry through cleaner energy solutions. We are seeking a highly capable Executive Assistant to enhance the performance of our HQ team. In this role, you will assist with a variety of administrative and leadership duties. These tasks include managing email and mail correspondence, calendaring Board meetings, coordinating executive travel and being the face of the company to visitors. You may also assist with invoicing, updating files, making travel arrangements, supporting LT expense reporting and coordinating catering and other employee engagement activities. This role will work to nurture a transparent and compassionate workplace and uphold the values of diversity, equity and inclusion.

Responsibilities

  • Managing correspondence between the Leadership team both internally and externally
  • Creating presentations for Board Meetings, Townhalls, etc. and other formal and informal channels
  • Communicating and scheduling customers, important visitors and other Blue Bird business
  • Purchasing materials for projects and presentations
  • Completing errands as needed
  • Social media updates
  • Special projects as needed
  • Maintaining the Company's organizational charts
  • Interfacing with the Board, their designees and ensuring smooth arrangements for Board Meetings
  • Providing administrative support to the Leadership team as needed
  • Completing expense reports as well as scheduling traveling, trade show details and other coordination as needed
  • Scheduling of meetings
  • Compliance and renewals of various licenses
  • Liaison with the property management team
  • Other project and day-to-day tasks as assigned

Requirements

  • High school diploma / Associate Degree preferred
  • Minimum of ten (10) years of experience in an administrative support role, with at least 5 years at one company
  • Excellent interpersonal & communications skills
  • Strong organizational, critical thinking, and interpersonal skills
  • Excellent and accurate keyboarding and document and information management skills
  • Ability to handle confidential and sensitive information with discretion and grace
  • Ability to plan, prioritize, problem solve, and thrive in a fast-paced environment
  • Strong collaboration, communication, and customer service abilities
  • Proficient at Microsoft Office, Zoom, Concur and other office programs/software
  • Experience working in a fast-paced work environment
  • Willingness to learn
  • Ability to travel occasionally
  • Ability to coordinate, host and manage off site and after-hour events
