The Executive Assistant is responsible for supporting the success of Tri-Lakes Cares' Executive Director, both internal to the organization and in the community through work with many community partners. The position requires a high-level of professionalism, confidentiality, and self-motivated work. The Executive Assistant will coordinate strategic initiatives, manage the Executive Director's schedule, organize meetings, draft communications, support the Board of Directors, and perform general support tasks. This role is essential in ensuring that the Executive Director can focus on leading the organization effectively while maintaining strong relationships with community partners and stakeholders.

Responsibilities

  • Develop, implement, and manage a dashboard for assessing progress towards the organization's strategic initiatives.
  • Assist the leadership team with the coordination of implementation team deliverables and schedule of meetings.
  • Provide support to implementation teams for cross-team communication and reporting to the leadership team.
  • Assist with managing scheduling for the Executive Director, ensuring adequate time for travel and breaks between meetings.
  • Organize and prepare for meetings, including gathering documents and attending to logistics.
  • Perform all logistics of meeting scheduling, including coordination of all attendees, location procurement, agenda, notes, reminders, and follow-up.
  • Prepare meeting rooms, including technology setup and arranging refreshments or collateral as necessary.
  • Draft, review, and send communications on behalf of the Executive Director.
  • Answer and respond to phone calls, communicate messages, and maintain various records for the Executive Director.
  • Assist with preparation and gathering information for the monthly Board packet and other reports and correspondence.
  • Perform all aspects of scheduling monthly Board of Directors meetings and any required subcommittees of the Board.
  • Perform supportive tasks such as sending thank you cards and gifts, and ordering and receiving functions for the organization.
  • Serve as a screening point for inquiries directed to the Executive Director and redirect as appropriate.
  • Support other leadership members and assist with nominating volunteers for award recognition.

Requirements

  • 4 years of experience with Microsoft Office, including Word and Outlook.
  • Strong writing skills and experience in executive administrative support.
  • Excellent organizational skills and time management abilities.
  • Exceptional communication skills, both verbal and written.
  • Ability to multitask and maintain close attention to detail.
  • Experience in research and administrative tasks.
