About the position

As the Creative Executive Assistant at New Life Covenant Church Southeast, you will play a pivotal role in supporting the Executive Office while infusing creativity into your work. This full-time position requires a master of multitasking who thrives in fast-paced environments and possesses strong problem-solving skills. You will be responsible for providing high-level administrative support, ensuring that the Executive Office operates smoothly and efficiently. Your role will involve acting as the primary point of contact for both internal and external stakeholders, managing the Executive Office's calendar, and overseeing special projects. You will need to exercise good judgment in various situations and handle confidential matters with discretion. Your creativity will be essential in bringing fresh ideas to the table, while your attention to detail will ensure that all tasks are executed flawlessly. You will also be expected to communicate effectively on behalf of the Executive Office, manage travel arrangements, and coordinate meetings and events. This position is ideal for someone who is proactive, resourceful, and has a passion for administrative work, as you will be instrumental in helping the organization achieve its mission.

Responsibilities

  • Provides high level administrative support and office management to the NLCSE Executive Office and/or other assigned leadership staff.
  • Ensures the Executive Office's schedule is followed and respected.
  • Acts as a gatekeeper and gateway for direct access to the Executive Office.
  • Completes critical aspects of deliverables with a hands-on approach, including clerical and administrative tasks such as drafting letters, memos, meeting minutes, invoices, and reports.
  • Prepares agendas and schedules for meetings, conferences, and other assigned events.
  • Communicates directly and on behalf of the Executive Office on matters of sensitive or confidential nature.
  • Works closely with the Executive Office to keep them informed of upcoming commitments and responsibilities.
  • Acts as a barometer for issues within the organization, keeping the Executive Office updated.
  • Manages all Executive Office calendar activities.
  • Coordinates and schedules travel, meetings, and appointments for the Executive Office.
  • Follows up on contacts made by the Executive Office to ensure ongoing relationships are cultivated.
  • Coordinates off-site management team meetings from conception to completion.
  • Responds to and resolves administrative inquiries and questions.
  • Welcomes and directs visitors, congregants, vendors, and other guests into the Executive Suite.
  • Provides guidance and direction to management team, employees, volunteers, vendors, and guests.
  • Represents the Executive Office professionally in all interactions with staff, management, congregants, and external individuals.
  • Produces high quality, accurate work and follows through on outstanding initiatives.
  • Conducts research to assist with projects or inquiries as needed.
  • Performs other related duties as assigned.

Requirements

  • Bachelor's degree in a related field required.
  • Five to ten years of experience supporting C-Level Executives, preferably in a non-profit organization.
  • Strong work tenure in executive administrative support and customer service.
  • Advanced level of expertise in MS Office products, MAC Operating Systems, and desktop publishing software.
  • Proven ability to handle confidential information with discretion.
  • Strong organizational skills with the ability to prioritize multiple tasks seamlessly.
  • Exceptional verbal and written communication skills.
  • Experience engaging varied audiences and building relationships.
  • Strong project management, collaboration, and presentation skills.

Nice-to-haves

  • Experience using CRM tools (e.g., Zoho, Salesforce) to capture and manage leads.
  • Experience using project management tools (e.g., Smartsheet, Asana).
  • Ability to make recommendations towards positive changes.
