About the position

The Executive Assistant will provide high-level administrative support to the Chief Executive Officer, Chief Operating Officer, and other senior staff members. This role is crucial in ensuring that the executives can focus on their strategic responsibilities while the Executive Assistant manages their day-to-day administrative tasks. The position requires a proactive individual who can handle a variety of tasks, from clerical duties to data analysis, and who can communicate effectively with various stakeholders within the organization. The Executive Assistant will perform clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff. They will collect and organize specified data from various sources, which may include departmental heads and subject matter experts, surveys of reports and forecasts, personal observations, budgetary documentation, and other appropriate resources. Analyzing collected data for trends and outliers is essential, as the Executive Assistant will need to identify potential strategies and offer suggestions to resolve issues identified by data analysis. In addition to data management, the Executive Assistant will arrange travel and accommodations for executives and senior staff members, schedule and attend meetings on behalf of executives, and manage investor communications. They will also perform office tasks including maintaining records, ordering supplies, and performing basic bookkeeping. The role may involve assisting with recruiting and onboarding procedures for new employees, and performing additional duties as assigned by executives.

Responsibilities

  • Provides high-level administrative support and assistance to the executive and/or other assigned leadership staff.
  • Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff.
  • Collects and organizes specified data from various sources, which may include departmental heads and subject matter experts, surveys of reports and forecasts, personal observations, budgetary documentation, and other appropriate resources.
  • Analyzes collected data for trends and outliers with an eye toward improving the organization's efficiency, profits, or other specified parameters.
  • Identifies potential strategies and offers suggestions to resolve issues identified by data analysis.
  • Creates detailed reports of data and analytical findings and clearly communicates them to management.
  • Arranges travel and accommodations for executives and senior staff members.
  • Schedules and attends meetings on behalf of executives, taking notes and recording minutes.
  • Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
  • Manages investor communications and maintains up-to-date records for all investors and business partners.
  • Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping.
  • Prepares gifts, charitable donations, and promotional items as directed by executives and senior staff.
  • May assist with recruiting and onboarding procedures for new employees.
  • Performs additional duties as assigned by executives.

Requirements

  • High school diploma required; Bachelor's degree in Business Administration or related field preferred.
  • At least four years of related experience required.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to function well in a high-paced and at times stressful environment.
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
  • Adept with basic research methods.
  • Ability to think analytically.
  • Mastery of basic math and statistics.
  • Proficient in Microsoft PowerPoint and other presentation-style platforms.
  • Ability to create visual descriptions of findings and present them to staff at varying levels in the organization.
  • Ability to work independently.
  • Ability to collaborate with the managerial staff of various departments.
