About the position

The Executive Assistant at Maine Farmland Trust plays a crucial role in supporting the President & CEO, Vice President & CFO, and the Leadership Team in achieving the strategic objectives of the organization. This position is integral to the smooth operation of the executive office and involves a variety of tasks that contribute to the overall mission of protecting farmland and supporting farmers in Maine. The Executive Assistant will be responsible for coordinating and advancing initiatives led by the Leadership Team, ensuring that projects are effectively managed and that communication flows seamlessly between the executive team and other stakeholders. In addition to supporting the Leadership Team, the Executive Assistant will also coordinate the activities of the Board of Directors and its committees. This includes scheduling meetings, preparing agendas, and ensuring that all necessary materials are distributed in a timely manner. The role requires a high level of organization and attention to detail, as the Executive Assistant will be managing multiple priorities and deadlines simultaneously. The position also involves overseeing key organizational projects and convenings, which may include planning events, managing logistics, and ensuring that all aspects of these initiatives are executed flawlessly. Furthermore, the Executive Assistant will be responsible for managing the Portland office property and budget, which includes overseeing office supplies, equipment, and other resources necessary for the efficient operation of the office. This full-time position is based in the Portland office of Maine Farmland Trust, with the possibility of some remote work, allowing for flexibility in the work environment. The Executive Assistant will be a vital part of the team, contributing to the mission of revitalizing Maine's rural landscape and supporting the agricultural community.

Responsibilities

  • Provide general support to the President & CEO, Vice President & CFO, and Leadership Team.
  • Support the creation and advancement of Leadership Team initiatives.
  • Coordinate the activities of the Board and Board Committees.

  • Manage the Portland office property and budget.

Requirements

  • Strong organizational skills and attention to detail.
  • Excellent communication skills, both written and verbal.

  • Experience in supporting executive-level staff or teams.
