About the position

The Executive Assistant will provide direct administrative support to the Director of Regenerative Food Systems and the Co-Director of Regenerative Food Low Emission Beef within the Provide Food & Water Business Unit at The Nature Conservancy (TNC). This role is crucial in ensuring the smooth operation of the team by managing various administrative tasks that include both domestic and international travel arrangements, calendar management, answering phones, drafting correspondence, processing expenses, and scheduling and coordinating logistics for meetings and special events. The Executive Assistant will act independently on assigned tasks, exercising independent judgment based on analysis and experience. The work is diversified and may not always fall under established practices and guidelines, requiring the assistant to work within the scope of the program's strategic goals. In addition to administrative duties, the Executive Assistant will coordinate projects with several variables, ensuring that they are completed within defined timelines and budgets. This role requires sensitivity in handling confidential information and ensuring compliance with Conservancy policies and procedures, as well as external requirements such as donor, legal, and IRS regulations. The assistant will also be responsible for making purchases, processing invoices, contracting with vendors, and assisting with budget preparation. Input through project teams for the improvement of existing programs will also be part of the responsibilities. The position requires flexibility in working hours and may involve travel, with the work environment generally involving only infrequent exposure to disagreeable elements and minor physical exertion or strain.

Responsibilities

  • Provide direct administrative support to the Director of Regenerative Food Systems and the Co-Director of Regenerative Food Low Emission Beef.
  • Manage domestic and international travel arrangements.
  • Handle calendar management and scheduling for the directors.
  • Answer phones and draft correspondence as needed.
  • Process expenses and manage invoices.
  • Schedule and coordinate logistics for meetings and special events.
  • Exercise independent judgment on assigned tasks based on analysis and experience.
  • Coordinate projects with multiple variables within defined timelines and budgets.
  • Ensure compliance with Conservancy policies and external requirements.
  • Make purchases and assist with budget preparation.
  • Provide input for the improvement of existing programs.

Requirements

  • Bachelor's degree and 2 years' experience or equivalent combination.
  • Experience generating reports and interpreting data.
  • Experience in business writing, editing, and proofreading.
  • Experience organizing time and managing diverse activities to meet deadlines.
  • Experience working across teams and communicating with a wide range of people.

  • Multi-lingual skills and multi-cultural or cross-cultural experiences.
  • Ability to analyze information to coordinate and plan activities and solve problems.
  • Ability to use Outlook, Concur, Zoom, and other technology effectively.
