About the position

High Country Search Group has partnered with a well-known Colorado organization to hire a permanent Executive Assistant. This role is crucial for providing comprehensive support to executives and/or a Board of Directors. The ideal candidate will possess prior experience in similar positions, demonstrating a strong understanding of the responsibilities and expectations that come with supporting high-level professionals. The Executive Assistant will be responsible for managing calendars, coordinating meetings, and ensuring that all logistical aspects of executive support are handled efficiently. This includes assembling meeting agendas, taking minutes, and managing travel arrangements both domestically and internationally. The role requires proficiency in using tools like Concur for travel bookings and expense reporting, as well as Microsoft Office applications for various administrative tasks. In addition to calendar management and travel coordination, the Executive Assistant will also assist with event and conference planning, which may involve booking catering and making restaurant reservations. The position demands a proactive individual who is comfortable interacting with C-level executives and Board members, and who can maintain confidentiality and privacy protocols. The successful candidate will be expected to contribute to the investment committee process by preparing meeting agendas and consolidating minutes, ensuring that all necessary documentation is organized and accessible. Responsibilities

  • Calendar management of internal and external meetings, conferences, and calls
  • Assemble and print meeting agendas and hand-outs, and take meeting minutes as necessary
  • Coordinate international and domestic travel bookings, using Concur and with external agency; prepare itinerary and logistics in Outlook
  • Process expense reports using Concur
  • Assist with event and conference coordination, booking catering and restaurant reservations, as needed
  • Answer phones, screen and route callers, handle inquiries, and provide back up to other administrative assistants and front desk, including light office maintenance
  • Contribute to the overall investment committee process by preparing weekly meeting agendas, packages and consolidating meeting minutes, as needed

Requirements

  • Bilingual in Spanish and English
  • Mid-level administrative experience
  • Proficient in Microsoft Office applications
  • High school diploma or GED
  • Associate's degree preferred
  • Experience as a personal assistant
  • Strong understanding of privacy and confidentiality protocols
  • Proactive and able to take initiative independently
  • Comfortable interacting with Board of Directors and C-level executives
  • Experience in a fast-paced work environment
