The Executive Assistant position serves as the primary gatekeeper and communication hub for the Department Head's office within the Department of Nuclear Engineering at North Carolina State University. This role is crucial in providing administrative support to the Department Head, Department Head Equivalent, and the Director of Finance and Administration, as well as faculty members as needed. The Executive Assistant will manage a variety of tasks that range from office support assignments to more complex administrative duties that require decision-making and sound judgment. Public contact is a significant aspect of this position, involving both internal and external stakeholders. Key responsibilities include maintaining and updating the Department Head's calendar, scheduling meetings, and ensuring that priorities and deadlines are met to facilitate the completion of work assignments. The Executive Assistant must possess a deep understanding of the Department's strategic mission, internal policies, and Standard Operating Procedures (SOPs). This understanding is essential for gathering information from various sources and summarizing it for different communication modes. The role also involves updating faculty individual report templates, collecting and reviewing reports for the Department Head's evaluation, and coordinating annual review meetings with over 80 faculty members. Additionally, the Executive Assistant will assist faculty with the preparation of their dossiers for the Reappointment, Promotion, and Tenure (RPT) process, coordinate adjunct faculty nominations, and independently plan departmental events and meetings. Other responsibilities include managing travel arrangements for the Department Head and guests, coordinating departmental meetings, and assisting with the RPT processes. The Executive Assistant will also support communication efforts for the Department Head, including presentations and speeches, and may act as a backup for the Business Manager and the Department's main office as needed. This position requires a proactive approach to administrative support and the ability to manage multiple priorities effectively.
