About the position

Expedia Group is seeking a highly experienced Executive Assistant to provide comprehensive support to multiple Vice Presidents and Leaders within the organization. This role is critical in ensuring that the executives can focus on strategic initiatives while the Executive Assistant manages their day-to-day administrative tasks. In this position, you will be responsible for anticipating the needs of the executives you support, managing their schedules, and ensuring that all administrative roadblocks are removed efficiently. You will utilize various information management tools such as Basecamp, SharePoint, Workday, and Streams to organize and share information effectively. Your role will also involve orchestrating logistics for team events, managing travel arrangements, and handling confidential information with integrity. You will be expected to build strong relationships across the organization and act as the go-to point of contact for all internal and external communications. The Executive Assistant will continuously review personal results against desired standards and take corrective actions to ensure success. You will proactively take on assignments that stretch your capabilities and contribute to the overall performance of the team. This position requires excellent planning and organizational skills, as well as the ability to balance multiple projects and tasks simultaneously with minimal error. You will also be responsible for processing expenses, managing vendor setups, and ensuring that all deadlines are met.

Responsibilities

  • Receives multiple information requests and anticipates information monitoring needs.
  • Uses information management tools (e.g., Basecamp, SharePoint, Workday, Streams) and documents standard processes for sharing information.
  • Orchestrates logistics for team events both onsite and offsite, including catering and room setup.
  • Manages administrative tasks for implementation of employee engagement activities/events.
  • Continuously reviews personal results against desired standards and takes corrective action to ensure success.
  • Proactively takes on assignments to stretch own capabilities and contributes to overall team performance levels.
  • Develops understanding of organizational terminology and structure.
  • Ensures there is coverage during absence and provides coverage for peers when absent.
  • Balances several projects and tasks simultaneously with minimal error.
  • Recognizes inefficiencies in process and makes independent recommendations to improve efficiency.
  • Tracks deadlines and follows up with team members to ensure deadlines are met.
  • Acts as go-to point of contact for all internal and external communications.
  • Attends offsite meetings and takes notes.
  • Manages daily schedules and sets up personal appointments for the executives.
  • Coordinates all travel arrangements, including itineraries and transportation.
  • Manages group calendar for the team.
  • Builds strong relationships across the organization with internal and external stakeholders.
  • Handles confidential information with integrity.
  • Processes expenses and handles vendor setup and corporate credit card reconciliation.

Requirements

  • Minimum of five years of experience in a rapidly changing environment.
  • Experience working for a technology company is a plus.
  • Experience working with senior-level Executives is a must.
  • Proficiency with Microsoft Office, specifically Outlook, Word, Excel, PowerPoint, and Visio.
  • Experience with expense reporting and travel management tools.
  • College degree in business preferred, or applicable work experience.
  • Detailed planning, time management, and organizational skills.
  • Exceptional written, verbal, and interpersonal communication skills.
  • Team and customer service orientation.
  • Positive, proactive attitude.
