About the position

We are seeking a highly organized and proactive Executive Assistant to provide administrative support to our senior executives. The ideal candidate will be experienced in handling a wide range of administrative and executive support tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible, and enjoy the administrative challenges of supporting a dynamic and fast-paced team. The Executive Assistant will play a crucial role in ensuring the smooth operation of the executive office and will be responsible for managing various tasks that contribute to the overall efficiency of the organization. In this role, the Executive Assistant will manage and maintain the schedules of the executives, including appointments and travel arrangements. They will also be responsible for arranging and coordinating meetings and events, including those involving the Board of Directors. The Executive Assistant will handle incoming and outgoing communications on behalf of the executives, which includes managing phone calls, emails, and other correspondence. Additionally, they will prepare reports, memos, presentations, and other documents using relevant software, ensuring that all materials are accurate and professionally presented. The Executive Assistant will also handle all expenses of the organization in collaboration with Supporting Strategies and support the COO to ensure that all required federal and state filings are made timely. They will coordinate and manage projects as assigned and maintain an organized filing system of both paper and electronic documents. Upholding a strict level of confidentiality is essential in this role, as the Executive Assistant will be privy to sensitive information and must exercise discretion at all times.

Responsibilities

  • Manage and maintain executives' schedules, appointments, and travel arrangements
  • Arrange and coordinate meetings and events, including meetings of the Board of Directors
  • Handle incoming and outgoing communications on behalf of the executives, including phone calls, emails, and other correspondence
  • Prepare reports, memos, presentations, and other documents using relevant software

Requirements

  • Proven experience as an executive assistant or similar administrative role
  • Excellent verbal and written communication skills
  • Strong organizational and time management skills
  • Proficiency in Google Workspace, Salesforce and Monday.com
  • Ability to prioritize tasks and work under pressure
  • Attention to detail and problem-solving skills
  • High school degree required
  • Discretion and confidentiality

  • Experience in a similar industry or role
  • Proficient in the use of all types of software generally used in office settings
