About the position

The Executive Assistant position at SPERRY Commercial Realty Associates involves providing comprehensive clerical support to a commercial real estate agent. The role is designed for a self-directed and highly organized individual who can manage multiple tasks efficiently while ensuring excellent communication with clients and stakeholders. This position offers flexible hours and the opportunity to work in a hybrid environment.

Responsibilities

  • Lead Generation and List Creation: Creating lists of specific properties, gathering ownership information, reaching out to owners via mail or email.
  • Scheduling: Showings, tours, meetings, within a Google calendar.
  • Gathering and Summarizing Data: Gathering all available information on a property including town records, maps, traffic counts, demographics, etc.
  • Analyzing and gathering available properties for buyer/tenant representation clients to consider.
  • CRM Management: Adding notes, contact creation and creating follow-up tasks on HubSpot.
  • Project Management: Assist with special projects and initiatives as assigned, such as summarizing short articles for a monthly newsletter.
  • Documentation: Prepare and distribute contracts, addendums, NDAs.
  • Transaction Coordination: Coordinate with lenders, title companies, inspectors, appraisers, and other service providers to ensure a seamless transaction process.

Requirements

  • Previous experience in real estate transaction coordination, real estate administration, or a related field is preferred.
  • Proficient in Google Drive (Google Docs, Google Sheets, etc.) and Microsoft Office Suite (Word, Excel, Outlook).
  • Experience using HubSpot and DocuSign is preferred.
  • Excellent verbal and written communication skills.
  • Exceptional organizational skills with the ability to manage multiple tasks and priorities simultaneously.
  • Strong problem-solving skills with the ability to proactively identify issues and find solutions in a fast-paced environment.
  • Dedication to providing exceptional customer service to clients.

Nice-to-haves

  • An active real estate license is preferred but not required.
