About the position

The Executive Assistant will provide essential support to the executive team at Fresno Discovery Center, ensuring that company goals are met and operations run smoothly. This part-time role involves managing schedules, drafting communications, and assisting with various administrative tasks, all while maintaining a high level of professionalism and confidentiality.

Responsibilities

  • Manage scheduling for the Executive Director
  • Draft, review and send communications, reports, and presentations on behalf of the Executive Director
  • Prepare, organize and take minutes for meetings, including gathering documents and attending to logistics of meetings
  • Answer and respond to phone calls, communicate messages and information to the Executive Director
  • Prioritize emails and respond when necessary
  • Conduct research and compile information for various projects
  • Maintain and organize files, both physical and digital, ensuring easy access to information
  • Act as a point of contact for internal and external stakeholders, representing the executives professionally
  • Maintain professionalism and strict confidentiality with all materials
  • Assist with special projects and initiatives as needed
  • Collaborate with and support our team of educators, volunteers, animal care professionals, and executive director to meet the organization's mission
  • Other duties as assigned

  • Strong time-management skills and an ability to organize and coordinate multiple concurrent projects
  • Ability to work independently and as part of a team
  • High level of discretion and confidentiality
  • Enthusiasm for working in an organization where change is frequent, structure is evolving, and flexibility, teamwork, & good humor are absolute necessities
  • Ability to creatively and quickly problem solve to manage unexpected situations
  • Excellent interpersonal skills; must be receptive to the ideas of others and able to work cooperatively to prioritize tasks and accommodate many different & conflicting concerns
  • Proficiency in all Microsoft Office applications and ability to learn new systems and adapt with emerging technologies (Google Drive, Zoom, etc.)
