About the position

We are offering a short term contract employment opportunity in the education industry, based in Hartford, Connecticut. The role we are seeking is an Executive Assistant, who will primarily focus on administrative tasks and projects, providing support to our team and ensuring smooth daily operations. The Executive Assistant will be responsible for managing and prioritizing projects, tasks, and meetings to improve overall organization and time management. This position requires a high level of professionalism and the ability to handle confidential matters with discretion. The ideal candidate will demonstrate sound judgment in ambiguous situations and maintain accurate records, logs, and files, in addition to creating and maintaining shared documents. In this role, you will coordinate visits, vendor interactions, room/lunch preparations for meetings, and travel arrangements. You will also be responsible for scheduling meetings, recording minutes, and ensuring proper conference room setup/breakdown and food setup for meetings. Responding to incoming correspondence, inquiries, and phone calls with professionalism is essential. Additionally, you will prepare documents and presentation materials and work directly with Finance to gather, analyze, and report financial information. This position is crucial for ensuring the smooth operation of our team and requires a proactive approach to problem-solving and organization.

Responsibilities

  • Manage and prioritize projects, tasks, and meetings to improve overall organization and time management.
  • Provide administrative support including but not limited to scheduling, communications, and coordination of tasks.
  • Handle confidential matters with discretion and demonstrate sound judgement in ambiguous situations.
  • Maintain accurate records, logs, and files, in addition to creating and maintaining shared documents.
  • Coordinate visits, vendor interactions, room/lunch preparations for meetings, and travel arrangements.
  • Schedule meetings and record minutes.

Requirements

  • Proficient in Customer Relationship Management (CRM) software
  • Solid experience in calendar management
  • Strong communication skills, both verbal and written
  • Ability to handle conference calls effectively
  • Experience in drafting and managing correspondence
  • Proficient in Microsoft Excel and MS Office suite
  • Proven project management skills
  • Experience in booking appointments efficiently
  • Must have a background in the education industry
  • Experience as an executive assistant or similar administrative role is preferred
  • Ability to multitask and prioritize tasks effectively
  • Demonstrated ability to handle confidential information
  • Excellent organizational and time-management skills
  • Strong problem-solving abilities
