The Executive Assistant at Ohio University plays a crucial role in supporting the administrative functions of various academic and administrative units. This position involves a wide range of responsibilities, including answering phones, greeting and assisting visitors, preparing documents and reports, compiling records, scheduling meetings, organizing and maintaining information, coordinating calendars, analyzing data, and providing high-level administrative assistance to executives. The Executive Assistant is expected to represent the executive and department to the public, employees, and students, establishing priorities for inquiries and ensuring proper handling of requests by delegating appropriately. In this role, the Executive Assistant will oversee planning unit administrative processes and coordinate both internal and external communications. A significant part of the job involves managing a multifaceted calendar of appointments, determining appropriate meeting lengths, locations, and participants. The Executive Assistant will also coordinate or complete special projects, represent the executive in meetings and committees, and act in the absence of the administrator to perform high-level administrative duties. Reporting directly to the Assistant Dean, the Executive Assistant is responsible for the direction, coordination, implementation, and completion of special projects assigned by the executive team, which includes the dean, associate deans, and assistant dean. This role requires facilitating communication between the college and university-wide constituents, creating presentations, and preparing materials. The Executive Assistant will manage the commitments and priorities of the executive team, ensuring that their impact on meetings and calendaring is effectively managed.
