Responsibilities

  • Manage the executive's calendar, prioritizing the most sensitive matters.
  • Coordinate both domestic and international travel arrangements and create detailed trip itineraries.
  • Oversee office budgets and conduct necessary research.
  • Answer incoming phone calls in a detail-oriented manner and accurately record messages.
  • Handle confidential documents, ensuring they remain secure.
  • Prepare invoices and financial statements and assist in bookkeeping tasks.
  • Conduct research and prepare presentations or reports as required.
  • Organize and maintain the office filing system to keep records accessible and updated.
  • Manage inventory of office supplies and place orders as necessary.
  • Use Microsoft Office Suites, including Excel and Outlook, for various administrative tasks.
  • Demonstrate skills in Calendar Management, Correspondence, C-Suite, and Documentation.

Requirements

  • Proficiency in Microsoft Office Suites including Microsoft Excel, Microsoft Outlook is required
  • Experience in managing calendars and scheduling appointments for executives
  • Ability to handle and prioritize high-level correspondence
  • Familiarity with C-Suite level operations and protocols
  • Exceptional skills in creating, editing, and managing documentation
  • Demonstrated ability to maintain confidentiality and handle sensitive information
  • Excellent communication, interpersonal, and organizational skills
  • Attention to detail and problem-solving abilities
  • Proven ability to work under pressure and meet tight deadlines
  • Adaptability and flexibility in a fast-paced work environment
  • Prior experience in a similar role, preferably supporting high-level executives.
