The Executive Assistant at Eastdil Secured plays a crucial role in providing comprehensive administrative support to multiple transaction professionals in a fast-paced environment. This position requires strong organizational skills, the ability to manage complex tasks, and effective communication with both internal teams and external clients. The role involves managing travel arrangements, scheduling meetings, and supporting the execution of various administrative tasks to ensure the smooth operation of the team.

Responsibilities

  • Provide administrative support to transaction professionals with complex needs, including travel, itineraries, and meeting calendars.
  • Keep transaction professionals informed of upcoming commitments and responsibilities, following up appropriately.
  • Plan, coordinate, and ensure meetings are scheduled, rescheduled, or prioritized based on business needs.
  • Communicate with the broader team to increase efficiency and establish scheduling best practices.
  • Complete a variety of administrative tasks, including tracking expenses and submitting expense reports.
  • Lead the planning and execution process for small local events on behalf of the team.
  • Assist in editing, formatting, and printing presentations and documents using PowerPoint, Word, Excel, and PDF.
  • Complete personal requests as needed, including personal travel and errands.
  • Provide executive deal administrative support to transaction professionals and deal teams.
  • Manage and organize internal databases and assist with the deal marketing process.

Requirements

  • Bachelor's Degree, preferred
  • 5+ years of experience in a corporate environment working with senior-level executives
  • Strong organizational skills with excellent attention to detail
  • Strong interpersonal skills and ability to build relationships across teams
  • Expert level written and verbal communication skills
  • Demonstrated proactive problem-solving skills
  • Emotional maturity and resourcefulness
  • Proven ability to exercise discretion and adapt to competing demands
  • Demonstrated ability to meet deadlines in a fast-paced environment
  • Experience coordinating complex calendars and managing expenses for multiple team members
  • Proficient in MS Office (Outlook, Excel, Word, PowerPoint), Microsoft TEAMS, and Zoom.
