About the position

The Executive Assistant role is essential for supporting executive functions and managing legal matters related to contracts and compliance. This position involves drafting, reviewing, and managing contracts while ensuring adherence to company policies and legal standards. The Executive Assistant will also handle scheduling, correspondence, and travel arrangements for the executive team, maintaining a high level of professionalism and discretion.

Responsibilities

  • Draft, review, and manage various contracts and agreements, ensuring compliance with company policies and legal standards.
  • Collaborate with internal stakeholders to gather necessary information for contracts and assist in negotiations as needed.
  • Maintain a comprehensive database of contracts, including tracking expiration dates and renewal deadlines.
  • Organize and maintain legal files and documentation, both physical and digital.
  • Prepare meeting agendas, notes, and follow-up items for legal meetings, ensuring timely distribution.
  • Manage the executive's calendar, scheduling meetings and appointments while prioritizing urgent requests.
  • Prepare and edit correspondence, reports, and presentations for internal and external stakeholders.
  • Coordinate travel arrangements and itineraries for the executive team, ensuring efficiency and cost-effectiveness.
  • Serve as a point of contact between executives, staff, and external partners or legal representatives.
  • Handle confidential information with discretion and professionalism, ensuring compliance with company policies.
  • Assist in ensuring adherence to company compliance programs and regulatory requirements.
  • Support efforts to identify and mitigate potential legal and operational risks.

Requirements

  • Bachelor's degree in Business Administration, Legal Studies, Paralegal work or a related field preferred.
  • Proven experience as an Executive Assistant or in a similar role, ideally within the insurance, legal, or financial industry.
  • Strong understanding of contract law and legal terminology.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and contract management software.
  • Excellent organizational skills with strong attention to detail.
  • Ability to prioritize tasks and manage time effectively in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Discretion and confidentiality in handling sensitive information.
