About the position

IKM Building Solutions, Inc. is seeking an Executive Assistant to provide high-level administrative support primarily to the CEO and COO, as well as additional support to other executive team members as needed. This role is crucial in ensuring that the company's goals and objectives are met while maintaining efficient operations. The Executive Assistant will be responsible for refining internal processes that support high-ranking executives across the organization and coordinating both internal and external resources to expedite workflows. In this position, the Executive Assistant will manage communication with employees by liaising with internal and external executives on various projects and tasks. The role requires planning and orchestrating work to ensure that senior executives' priorities are met, organizational goals are achieved, and best practices are upheld. The Executive Assistant will also prepare various documents, including Word, Excel, and PowerPoint presentations, agendas, reports, and special projects that support the organization's objectives. Additionally, the Executive Assistant will organize complex calendars and schedules, resolving any scheduling issues that may arise. The role includes assisting with Human Resource initiatives, maintaining contact with local schools, attending career fairs, planning events both internally and externally, and collaborating with corporate on marketing materials for the company. The Executive Assistant will manage sensitive matters with a high level of confidentiality and discretion, especially those decisions that directly impact the operations of the company. Other duties may be assigned by the executive team as needed.

Responsibilities

  • Support the CEO and COO primarily and provide additional support to executive team members as directed.
  • Maintain and refine internal processes that support high-ranking executives companywide.
  • Coordinate internal and external resources to expedite workflows.
  • Manage communication with employees by liaising with internal and external executives on various projects and tasks.
  • Plan and orchestrate work to ensure that senior executives' priorities are met and organizational goals are achieved.
  • Provide high-level administrative support and assistance to the CEO, COO, and/or other assigned leadership staff.
  • Prepare Word, Excel, PowerPoint presentations, agendas, reports, and special projects in support of organizational objectives.
  • Organize complex calendars and schedules, resolving any scheduling issues.
  • Assist with Human Resource initiatives and maintain contact with local schools.
  • Attend career fairs and plan events both internally and externally.
  • Collaborate with corporate on marketing materials for the company.
  • Manage sensitive matters with a high level of confidentiality and discretion.

Requirements

  • Minimum 5 years of high-level administrative support and assistance experience.
  • High School Diploma or equivalent required.
  • Bachelor's degree from a four-year college or university, or 5+ years of related experience and/or training.
  • Excellent verbal and written communication skills.
  • Experience with Smartsheets and Power BI is required.
  • Ability to handle confidential information with discretion.
  • Organized, detail-oriented, and able to prioritize tasks effectively.
