About the position

The Central Ohio Transit Authority (COTA) is seeking an organized and detail-oriented Administrative Support professional to assist the Chief of External Relations. This role is crucial in ensuring the smooth operation of the External Relations team, supporting administrative needs, and enhancing COTA's reputation within the community. The position involves managing schedules, coordinating meetings, and providing comprehensive support to the leadership team, all while aligning with COTA's strategic vision to connect people to prosperity through innovation and teamwork.

Responsibilities

  • Serve as the primary point of contact for the Chief of External Relations.
  • Manage a dynamic calendaring schedule for the Division Chief in a fast-paced environment.
  • Prepare the Division Chief for critical internal and external meetings in advance.
  • Travel with the Division Chief to COTA events as necessary.
  • Provide administrative support to the Division Chief and Division Directors as directed.
  • Coordinate with the President's Office administrative team to ensure meeting requests are covered.
  • Serve as Administrative Liaison for the External Stakeholder Relations Committee, distributing meeting minutes and agendas.
  • Schedule and coordinate onsite and off-site meetings; prepare correspondence, reports, and statistical documents.
  • Develop charts, graphs, presentations, and schedules from rough copy.
  • Maintain a longer-term strategic calendar of major upcoming events and priorities.
  • Support bi-weekly External Relations Division meetings, building agendas and preparing technology needs.
  • Monitor division budgets and work with the Office of Finance to ensure budget alignment.
  • Lead division efforts to maintain and grow team culture, including team retreats and bonding opportunities.
  • Coordinate travel arrangements and accommodations as needed.
  • Prepare and submit travel authorizations and expense reports.

Requirements

  • Five (5) years of progressively responsible experience providing administrative support at the Manager or Director level.
  • Experience providing support to executives in higher education or government agencies preferred.
  • An equivalent combination of education and experience will also be considered.
  • Microsoft Office Specialist certification preferred.

Nice-to-haves

  • Experience in public transportation or related fields.
  • Familiarity with community engagement and stakeholder relations.
