About the position

The Executive Assistant position provides high-level administrative support to a Director or Vice President level executive. This role involves complex duties and responsibilities, requiring minimal direction and guidance. The Executive Assistant is responsible for managing projects, preparing documents, scheduling appointments, and maintaining confidentiality of sensitive information while ensuring alignment with organizational goals and policies.

Responsibilities

  • Provide administrative and analytical support to executive leadership.
  • Prepare documents, reports, and correspondence using various software packages.
  • Schedule appointments and maintain event and meeting calendars without conflicts.
  • Answer, direct, and refer calls to appropriate areas.
  • Update and maintain databases and filing structures.
  • Audit expenditures and resolve discrepancies.
  • Maintain confidentiality of sensitive information.
  • Interact with higher-level associates regarding projects and scheduling requirements.
  • Attend briefings and technical meetings for internal and external representatives.
  • Collaborate with various departments regarding the calendar of events.

Requirements

  • High school diploma or equivalent required.
  • Some college education strongly preferred.
  • 2 - 4 years of administrative support experience.
  • Proficiency in Google mail, calendaring, and shared drives.
  • Proficient in Microsoft Office tools including Word, Excel, PowerPoint, and Outlook.
  • Strong customer focus and customer service skills.
  • Excellent communication and organizational skills.
  • Strong interpersonal skills with the ability to analyze and explain complex data.
  • Detail-oriented with a focus on quality and process improvements.
