About the position

The Executive Assistant at Vistant provides high-level administrative support to the CEO and other leadership staff, ensuring efficient operation of the executive office. This role involves managing schedules, coordinating meetings, arranging travel, and assisting with key projects, all while maintaining a high level of professionalism and confidentiality.

Responsibilities

  • Provides high-level administrative support and assistance to the CEO and other leadership staff.
  • Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff.
  • Acts as primary point of contact between the CEO and internal/external stakeholders.
  • Coordinates and manages the CEO's schedule, including prioritizing and organizing internal and external meetings.
  • Arranges travel and accommodations for the CEO and other leadership staff.
  • Assists the CEO in managing key projects, coordinating cross-functional activities.
  • Schedules and attends meetings on behalf of the CEO and other leadership staff, taking notes and recording minutes.
  • Receives incoming communication or memos on behalf of executive staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
  • Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping.
  • Performs additional duties as assigned by executives.

Requirements

  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to function well in a high-paced and at times stressful environment.
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
  • Able to type a minimum of 50 words per minute.
  • Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.
  • Ability to thrive in a fast-paced and changing growth environment.
  • Customer service driven towards all external and internal customers.
  • Unwavering professional integrity and the ability to maintain confidentiality of sensitive company/employee information.
  • Associates Degree in Business Administration or related field.
