In this role, the Executive Assistant will provide senior-level administrative and project management support to the COO and their team. This position will also offer backup support for the Director of Office Operations and the Office Operations team. The Executive Assistant will be responsible for organizing executive calendars, setting up meetings with internal and external stakeholders, and acting as a liaison among executives, employees, and external partners. The role requires managing incoming calls and correspondence, preparing relevant materials, maintaining action lists, and handling travel arrangements and expense reporting. Additionally, the Executive Assistant will work with leadership on initiatives requiring inter-departmental and inter-organizational support, capture notes and action items from meetings, and plan and organize events. This position is essential in ensuring the smooth operation of the executive office and supporting the overall mission of findhelp.

Responsibilities

  • Organizes executive calendars and sets up meetings with internal and external stakeholders
  • Acts as a liaison among executives, employees, and external partners
  • Manages incoming calls and correspondence in a timely and accurate manner consistent with company values
  • Manages executive activities including preparation of relevant materials/prep documents, maintenance and follow-up on action lists, speaking engagements, direct report relationships, travel arrangements, and expense reporting
  • Works with leadership on initiatives requiring inter-departmental and inter-organizational support
  • Captures notes and action items from meetings, ensuring the sensitive nature of this information is protected
  • Plans and organizes events
  • Leads/participates in special projects and employee events
  • Provides support as needed for the Office Operations team
  • Performs any other duties needed within the scope of the role that help drive our Vision and fulfill our Mission

Requirements

  • 10+ years of experience in an executive support role strongly recommended
  • Strong interpersonal skills with sound judgment and a high degree of sensitivity for confidentiality
  • Excellent verbal and written communication skills
  • Ability to pay attention to detail, organize, prioritize, and manage multiple and varied projects simultaneously and independently
  • Knowledge of proper formats for letters, reports, and presentations; ability to produce neat, accurate correspondence and reports
  • Integrity, dependability, and trustworthiness with the ability to perform duties under stress of short deadlines with competing priorities
  • Proficiency in all G-Suite applications
  • Excellent time management skills
