About the position

The Executive Assistant position within the Department of Defense (DoD) is a critical role that provides high-level administrative support to the Office of a Director and Deputy Director. This position is responsible for forecasting potential staffing and support requirements, resolving administrative problems, and planning and projecting time for historically recurring requirements. The Executive Assistant will coordinate administrative assignments, analyze the administrative process to improve effectiveness, and perform a variety of special projects. This role requires a proactive approach to managing the office's needs, ensuring that all administrative tasks are executed efficiently and effectively. In addition to routine administrative duties, the Executive Assistant will prepare draft briefings by gathering background data, searching for missing information, ensuring proper coordination, and continually updating recurring briefings. The position also involves overseeing the planning and execution of conferences, meetings, organization-wide training events, and off-site activities. The Executive Assistant will work closely with the office of the Agency Director to schedule appointments, provide read-ahead materials, and arrange meetings, briefings, and events as appropriate. This role is essential for maintaining the flow of information and ensuring that the Director and Deputy Director are well-prepared for their engagements. Candidates for this position must be U.S. citizens and suitable for federal employment, with a requirement to obtain and maintain a Level 2 Certification under the DoD Financial Management Certification Program. The position is full-time, permanent, and based in Indianapolis, IN, with occasional travel expected. The salary range for this position is between $87,758 and $114,082 per year, depending on qualifications and experience.

Responsibilities

  • Forecast potential staffing and support requirements.
  • Resolve administrative problems and plan time for recurring requirements.

Requirements

  • Must be a U.S. Citizen or National.
  • Registered for Selective Service (males born after 12-31-1959).
  • Must have served 3 months after last competitive appointment in the Federal service.
  • One year of specialized experience equivalent to GS-11 level in the federal service.
  • Experience providing executive-level administrative support and communicating with senior level staff.
