About the position

The Executive Assistant provides high-level administrative support to senior executives and their teams, ensuring efficient office operations and effective communication. This role involves managing calendars, coordinating events, and handling various administrative tasks while contributing to strategic initiatives and relationship management with stakeholders.

Responsibilities

  • Performs a variety of administrative and clerical tasks, financial and human resources administration.
  • Provides professional support to one or more Managers and their direct reports.
  • Ensures all administrative and operational processes and control standards are followed.
  • Determines, develops, and participates in the implementation of improvement opportunities.
  • Builds effective relationships with internal/external stakeholders.
  • Analyzes data and information to provide insights and recommendations.
  • Gathers and formats data into regular and ad-hoc reports and dashboards.
  • Leads the planning, coordinating, and implementing department events.
  • Provides senior level administrative and operational support within a large, diverse team.
  • Employs systems to manage information and enhance analysis and reporting.
  • Coordinates and monitors budgets and reports on results vs. budget.
  • Provides coaching and mentoring to junior administrative assistants.
  • Manages and monitors calendars and upcoming events.
  • Books meeting rooms and arranges resources for meetings.
  • Develops and maintains a filing system for documentation.
  • Supports the development of tailored messaging and communications.
  • Processes invoices for payment and tracks expenses to ensure they stay within budget.
  • Makes travel arrangements and liaises with internal business units and external vendors.
  • Maintains supplies inventory and anticipates needed supplies.
  • Coordinates training requirements for staff and organizes work information.

Requirements

  • Typically 7+ years of relevant experience in an administrative/professional support function.
  • Demonstrated progressive responsibility in previous roles.
  • Post-secondary degree in a related field of study.
  • In-depth verbal and written communication skills.
  • Strong collaboration and team skills.
