About the position

The Executive Assistant at Stellar Health Services will provide comprehensive administrative support to the President, CFO, and COO. This full-time role involves managing various office tasks, handling customer inquiries, and ensuring efficient communication within the organization. The position requires a proactive individual with strong organizational skills and the ability to work independently.

Responsibilities

  • Answer and respond to calls and emails.
  • Handle customer inquiries both telephonically and by email.
  • Identify and escalate priority issues to the appropriate personnel.
  • Route calls to the appropriate resource.
  • Conduct general and clerical office tasks including scheduling meetings and taking minutes.
  • Provide support to the Call Center team, including running reports and making outreach calls.
  • Monitor and order all office supplies.
  • Assist the President, CFO, and COO as needed.
  • Oversee vehicle fleet, EZ pass access, automobile insurance coverage, and registration.
  • Update company policies and procedures.
  • Monitor employee trainings for compliance with contractual agreements and CHAP accreditation.
  • Plan, organize, and schedule company meetings in various formats.
  • Create and revise marketing materials and flyers.
  • Maintain filing system, contact database, employee list, and inventory.
  • Prepare reports, presentations, and other documents.
  • Participate in branch, department, and intra-department meetings.

Requirements

  • High school diploma or GED required.
  • Previous administrative assistant experience.
  • Advanced experience with Microsoft Suite and Adobe.
  • Previous phone and customer service experience.
  • Good data entry and typing skills.
  • Knowledge of customer service principles and practices.
