About the position

We are in search of an Executive Assistant to join our team in Waltham, Massachusetts. In this role, you will be a vital part of our operations, providing support to the Chief Human Resource Officer and performing various administrative tasks. This position is designed for individuals who thrive in a fast-paced environment and are adept at managing multiple responsibilities simultaneously. You will be responsible for ensuring that the Chief Human Resource Officer's day-to-day operations run smoothly and efficiently, allowing them to focus on strategic initiatives and leadership responsibilities. As an Executive Assistant, you will provide comprehensive administrative support, which includes managing and organizing calendar appointments using Outlook, performing travel booking and expense management tasks utilizing Concur software, and assisting in the preparation, cleanup, and distribution of presentation materials using Microsoft PowerPoint. Your role will also involve leveraging your skills in various software applications such as ADP - Financial Services, Cisco Webex Meetings, CRM, Kronos Timekeeping System, and About Time to enhance the efficiency of our operations. You will handle all forms of correspondence and conference calls professionally, ensuring clear and effective communication within the team and with external partners. This role offers a short-term contract employment opportunity, making it ideal for those looking to contribute their skills in a dynamic environment while gaining valuable experience in a corporate setting. You will be expected to maintain accurate customer credit records and ensure all customer credit applications are processed accurately and efficiently. Responsibilities

  • Provide comprehensive administrative support to the Chief Human Resource Officer
  • Manage and organize calendar appointments using Outlook
  • Perform travel booking and expense management tasks utilizing Concur software
  • Assist in the preparation, cleanup, and distribution of presentation materials using Microsoft PowerPoint
  • Leverage skills in ADP - Financial Services, Cisco Webex Meetings, CRM, Kronos Timekeeping System, and About Time to enhance operational efficiency

Requirements

  • Minimum of 7 years of experience as an Executive Assistant
  • Proficient in ADP Financial Services
  • Experience with Cisco Webex Meetings
  • Familiarity with Concur and Concur Travel
  • Proficient in Customer Relationship Management (CRM) software
  • Experience with Kronos Timekeeping System and About Time
  • Proven skills in Calendar Management
  • Excellent Communication skills
  • Experience in managing Conference Calls and Correspondence
  • Proficient in Microsoft PowerPoint
  • Proven skills in Administrative Assistance
