About the position

The position involves providing administrative support to the Treasury and Tax departments at Gates, a leading manufacturer of fluid power and power transmission solutions. The role requires a proactive individual who can manage multiple tasks, maintain confidentiality, and work collaboratively within a team. The successful candidate will be responsible for preparing annual reports, managing travel arrangements, and executing special projects, all while ensuring a high level of professionalism and integrity.

Responsibilities

  • Act as the gatekeeper and administrative support for the Treasury and Tax departments.
  • Prepare and timely file approximately 84 annual reports for various states throughout the year.
  • Execute department purchasing activities.
  • Build and maintain databases for various departmental needs.
  • Schedule travel plans and reconcile receipts related to travel via Concur.
  • Coordinate approval of expenses prior to sending to accounts payable.
  • Provide administration of certain systems.
  • Work independently and within a team on special and ongoing projects.
  • Act as a project manager for special projects, including planning and coordinating presentations and organizing events.
  • Execute special or ad hoc projects as needed.

Requirements

  • 4+ years' experience supporting executives in roles with progressive responsibility.
  • Demonstrated high level of integrity and discretion.
  • High level of interpersonal skills to handle sensitive and confidential situations.
  • Knowledge of a variety of computer software applications including MS Word, Excel, PowerPoint, and Visio.
  • Strong team player with the ability to support other team members as needed.
  • Ability to work well under pressure and handle conflict effectively.
  • Demonstrated ability to interact and communicate with internal and external business partners.
  • Ability to interpret data and provide meaningful information to management.
  • Self-motivated and capable of making decisions without guidance.
  • Ability to juggle multiple competing tasks and demands.

Nice-to-haves

  • Experience in project management.
  • Familiarity with Concur or similar expense management software.
