About the position

Hartmann's Inc. is seeking a highly organized and proactive Executive Assistant to support the President. The ideal candidate will be a detail-oriented professional with excellent communication skills and the ability to manage multiple tasks efficiently. This role is crucial in ensuring the smooth operation of the President's office and requires a high level of professionalism and discretion. The Executive Assistant will be responsible for a variety of administrative tasks that support the President's daily activities and long-term projects. Key responsibilities include managing the President's calendar, coordinating meetings, and handling all communications on behalf of the President. The Executive Assistant will prepare meeting agendas, take minutes, and follow up on action items to ensure that all tasks are completed in a timely manner. Additionally, the role involves organizing and maintaining confidential files and records, assisting in the planning and execution of special projects, and coordinating travel arrangements. The Executive Assistant will also act as a liaison between the President and both internal and external stakeholders, providing general administrative support as needed. The ideal candidate will possess a Bachelor's degree in Business Administration or a related field, along with a minimum of 5 years of experience as an Executive Assistant or in a similar role. Strong organizational and time-management skills, along with proficiency in Microsoft Office Suite, are essential. The candidate should be able to handle sensitive information with discretion and demonstrate strong problem-solving skills and attention to detail. Personal attributes such as professionalism, adaptability, initiative, and being a team player are highly valued in this position.

Responsibilities

  • Coordinate and manage the President's schedule, including meetings, appointments, and travel arrangements.
  • Handle all communications on behalf of the President, including emails, phone calls, and correspondence.
  • Prepare agendas, take minutes, and follow up on action items from meetings.
  • Organize and maintain confidential files and records.
  • Assist in the planning and execution of special projects and initiatives.
  • Plan and coordinate travel itineraries, accommodations, and logistics.
  • Act as a liaison between the President and internal/external stakeholders.
  • Provide general administrative support, including expense reporting, office supply management, and other tasks as needed.

Requirements

  • Bachelor's degree in Business Administration or related field preferred.
  • Minimum of 5 years of experience as an Executive Assistant or in a similar role.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle sensitive information with discretion.
  • Strong problem-solving skills and attention to detail.
