In this role, you will directly support our VP of Mechanical Service, providing essential administrative assistance that is crucial for the smooth operation of our services. This position offers a unique opportunity to engage in a variety of tasks that will challenge you and allow for personal and professional growth. As the Executive Coordinator, you will be the master of organization, ensuring that the VP of Service's schedule runs seamlessly. This includes managing calendars, scheduling meetings, and coordinating appointments with finesse. You will also serve as the communication master, acting as the voice of our VP through expert handling of calls, emails, and correspondence, ensuring that every interaction reflects our commitment to excellence. Your role will also involve being a powerhouse of preparation, diving into project details and keeping everything on track with meticulous documentation, insightful reports, and dazzling presentations. Additionally, you will be the meeting maestro, orchestrating flawless meetings by crafting agendas, capturing action items, and ensuring follow-through that drives results. You will also be responsible for completing other requests made by the VP of Service as necessary.

Responsibilities

  • Manage the VP of Service's calendar and schedule meetings.
  • Handle calls, emails, and correspondence on behalf of the VP of Service.
  • Prepare documentation, reports, and presentations for projects.
  • Organize and facilitate meetings, including crafting agendas and capturing action items.
  • Complete additional requests from the VP of Service as needed.

Requirements

  • Previous experience as an executive assistant or in a similar role, ideally in the HVAC or construction industry.
  • Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent interpersonal skills and the ability to handle sensitive information discreetly.
