In this role, the Executive Assistant will support and prioritize the needs of assigned Partners and their teams. This includes managing and coordinating multiple calendars, both individual and team-specific, and working with Project Managers to effectively manage the Partners' involvement in projects based on team needs and project deadlines. The Executive Assistant will also manage all travel arrangements and documentation, including visa requirements, and schedule team/client/consultant meetings while assisting with the setup of conference rooms, including food and beverage arrangements, Zoom meetings, and providing access to the building for all guests, clients, consultants, and vendors. Additionally, the role involves handling all community, organization, and event sponsorships overseen by supported Partners, identifying, organizing, and implementing administrative projects independently, and ensuring day-to-day tasks are well organized and efficient. The Executive Assistant must be flexible to work beyond scheduled hours, if necessary, to meet business commitments, and must be able to work and communicate cohesively with other Firmwide Leadership, Firmwide Administrative staff, Office Facilities, Clients, and Consultants.

Responsibilities

  • Supports and prioritizes the needs of assigned Partners and their teams.
  • Manages and coordinates multiple calendars, both individual and team specific.
  • Works with Project Managers to effectively manage the Partners' involvement in projects based on the needs of the team(s) and project deadlines.
  • Manages all travel arrangements and documentation including visa requirements.
  • Schedules team/client/consultant meetings and assists with set-up of conference rooms, including food and beverage; Zoom Meetings, and providing access to the building for all guests, clients, consultants and vendors.
  • Handles all Community, Organization and Event Sponsorships that any supported Partner oversees.
  • Identifies, organizes, and implements administrative projects independently in accordance with deadlines including timesheets and expense reports.
  • Partners with SOM's licensing specialist to ensure architectural state licenses are renewed, updated and accurate along with maintaining AIA credits.
  • Ensures the day to day tasks are well organized and efficient.
  • Performs other support tasks as assigned, including editorial work on technical papers and presentations.

Requirements

  • Five to seven years' experience as a high functioning executive assistant to C-Suite leaders.
  • Demonstrates excellent interpersonal and written skills along with being a highly effective communicator.
  • Experience in architecture, design, or construction industry preferred, but not required.
  • Demonstrates strong organizational and time management skills and can multitask in a fast-paced environment.
  • Excellent judgement and decision-making skills in relation to priorities and execution of urgent tasks that require quick turnaround.
  • Manages sensitive matters with confidentiality and discretion.
  • Advanced knowledge of Google Suite (Gmail, GCal, GDrive), Slack, Zoom, Microsoft Suite (Excel, Word), Adobe Suite (PDF) and PPT.
  • Exhibits self-initiative, problem-solving, and decision-making qualities with a high attention to detail.
  • Exhibits flexibility and is able to shift gears as needed.
