About the position

We are seeking an experienced Executive Assistant to provide top-notch administrative support to our senior management team in the Investment Management sector. This role is crucial for ensuring that the executives can focus on strategic initiatives while the Executive Assistant manages their day-to-day administrative tasks. The ideal candidate will possess exceptional organizational and communication skills, along with a keen eye for detail, to effectively support the executives in their responsibilities. This position is hybrid, requiring 80% onsite presence and 20% remote work, allowing for flexibility while maintaining a strong connection with the team and operations. In this role, you will be responsible for managing and maintaining the executive's schedules, which includes arranging appointments, meetings, and travel arrangements. You will handle all administrative tasks, including answering and directing phone calls, responding to emails, and managing office supplies and inventory. Your attention to detail will be essential as you perform data entry and filing tasks as required, ensuring that all information is accurately recorded and easily accessible. Additionally, you will coordinate and schedule meetings and events, providing logistical support to ensure everything runs smoothly. As part of your responsibilities, you may also assist with bookkeeping tasks as required, contributing to the overall efficiency of the office operations. This position requires a proactive individual who can anticipate the needs of the executives and act accordingly, ensuring that all tasks are completed in a timely manner and to a high standard.

Responsibilities

Requirements

  • Minimum of 2 years' experience in an Executive Assistant role
  • Strong organizational and time-management skills
  • Excellent communication and interpersonal skills
  • Proficient in Google Suite and Microsoft Office
  • Experience with filings and data entry
  • Ability to manage office supplies and inventory
  • Familiarity with bookkeeping principles is an asset
