About the position

We are seeking a highly organized and proactive Client Excellence professional to join our team. This role is pivotal in ensuring the smooth operation of executive functions, enhancing Digitas Health client experiences, and supporting our leadership team. The ideal candidate will have a strong attention to detail, excellent communication skills, and the ability to manage multiple priorities in a fast-paced environment.

Responsibilities

  • Efficiently manage and coordinate the executive team's calendars, including scheduling appointments, meetings, and travel arrangements.
  • Handle expense reports, budget tracking, and reimbursement processes to ensure accurate and timely financial documentation.
  • Elevate the Digitas Health client experience by leading the planning and organization of large scale meetings both on-site and off-site, including creating a memorable experience through meeting and room design, preparing agendas, coordinating logistics, and ensuring all necessary materials are available.
  • Work closely with the Design teams to assist in creating high-quality presentations and reports for internal and client-facing meetings.
  • Support initiatives to improve client experiences, including coordinating client events, managing communications, and providing exceptional service.
  • Perform various administrative tasks such as email management, document preparation, and maintaining confidential files.
  • Collaborate on special projects and initiatives as needed, providing comprehensive support to ensure successful outcomes.

Requirements

  • Minimum of 5-7 years of experience as an Executive Assistant, Client Success or in a similar role.
  • Bachelor's degree in Business Administration, Communications, or a related field is preferred.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Exceptional interpersonal skills and the ability to work effectively with diverse teams.
