About the position

The Executive Assistant at Reworld will play a crucial role in supporting the Chief Financial Officer (CFO) by managing a wide range of executive-level activities. This position requires a proactive individual who can handle various administrative tasks efficiently while maintaining a high level of professionalism. The Executive Assistant will be responsible for calendar management, coordinating meetings, and ensuring that all logistics are in place for successful events. This includes travel planning, managing communications, and handling confidential correspondence. The role also involves supporting team members in preparing and uploading presentations for board meetings or external engagements, showcasing the importance of this position in facilitating smooth operations within the executive team. In addition to managing the CFO's schedule, the Executive Assistant will perform general administrative duties such as answering phones, setting up conference calls, and organizing lunch meetings. The role requires meticulous attention to detail, especially when drafting communications and analyzing incoming emails and reports to determine their significance. The Executive Assistant will also be responsible for submitting vendor invoices for payment and maintaining a status log, ensuring that all financial transactions are tracked accurately. The position demands strong organizational skills, as the Executive Assistant will handle new hire setups, order supplies for the department, and coordinate various events, including sales conferences and corporate meetings. This multifaceted role requires the ability to manage regional data and reporting as needed, along with other tasks assigned by the CFO or other executives. The ideal candidate will be a team player with exceptional interpersonal skills, capable of working overtime when necessary and displaying a great deal of initiative in their work.

Responsibilities

  • Manages and maintains the schedules using Microsoft Outlook, including arranging departmental meetings
  • General administrative duties including answering telephones, setting up conference calls, meetings, lunch meetings, copying, payroll approvals
  • Coordinates travel itinerary and makes travel arrangements; prepares expense reports
  • Drafts communications
  • Reads and analyzes incoming e-mails, memos, submissions, and reports to determine their significance, responds/takes action as appropriate, and plans their distribution
  • Submits vendor invoices for payment into the financial system and maintains the status log
  • Handles all aspects of new hire setup/coordination
  • Orders and maintains supplies for the department
  • Supports other leaders and other VP-level individuals
  • Coordinates and plans Sales conferences, regional events, corporate meetings, and employee events
  • Manages regional data and reporting as needed
  • Other tasks as assigned

Requirements

  • Exceptional verbal and written communication skills required
  • Minimum 7 years of administrative experience; previous experience in an Accounting or Finance related department is highly preferred
  • Associate's degree, or appropriate formal training in a related discipline, or equivalent business experience
  • Extremely knowledgeable in Microsoft Word, Excel, PowerPoint, and Outlook
  • Well-organized with strict attention to detail
  • Ability to multi-task and prioritize work assignments
  • Exceptional experience with calendar management, time & expense management support, meeting coordination, meeting support planning
  • Available to work overtime as necessary
  • Display a great deal of initiative
  • Strong interpersonal skills and a team player
  • Knowledge of and adherence to all company policies and procedures
