About the position

The Executive Assistant position is a critical role within our dynamic and growing organization. This position requires a highly organized and proactive individual who can effectively support a Vice President level executive. The ideal candidate will possess a strong background in administrative support, particularly in fast-paced environments, and will be adept at managing multiple tasks simultaneously. The Executive Assistant will be responsible for a variety of administrative duties, including managing schedules, coordinating meetings, and handling correspondence. Strong communication skills are essential, as the Executive Assistant will serve as a liaison between the executive and various stakeholders, both internal and external to the organization. In addition to traditional administrative tasks, the Executive Assistant will be expected to utilize advanced Microsoft Office skills to create presentations, manage data, and prepare reports. The ability to maintain confidentiality and exercise discretion is paramount, as the Executive Assistant will have access to sensitive information. This role also requires a proactive approach to problem-solving and the ability to anticipate the needs of the executive. The successful candidate will thrive in a collaborative environment and will be committed to contributing to the overall success of the organization.

Responsibilities

  • Support the Vice President by managing their calendar and scheduling meetings.
  • Coordinate travel arrangements and itineraries for the executive.
  • Prepare and edit correspondence, reports, and presentations using Microsoft Office.
  • Act as a liaison between the executive and other departments or external stakeholders.
  • Handle confidential information with discretion and professionalism.
  • Assist in the organization of company events and meetings.
  • Manage and prioritize incoming communications and requests.

Requirements

  • Previous experience supporting VP level executives or similar roles.
  • Strong proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple tasks and prioritize effectively.
  • Strong organizational skills and attention to detail.
