About the position

The Executive Assistant at CGI Federal plays a crucial role in supporting a senior executive and their leadership team within the context of federal contracting. This position involves managing a variety of administrative tasks, ensuring efficient operations, and contributing to the growth of the business unit. The role requires a proactive individual who can thrive in a fast-paced environment and effectively communicate with both internal and external stakeholders.

Responsibilities

  • Work closely with executives on administrative and operational initiatives.
  • Manage the senior executive's calendar and oversee scheduling activities for the leadership team.
  • Assist in setting up and running meetings and events, mastering current meeting and conference room technology.
  • Assist with business unit leader communications.
  • Manage local, national, and international travel logistics.
  • Complete assigned project work and ad hoc data requests as needed.
  • Obtain and submit signature approvals for executives in the unit.
  • Maintain executive presence while interacting with external clients and internal executives.
  • Collaborate with administrative teams across the business unit and within the enterprise to ensure efficient coordination of schedules, meetings, and events.

Requirements

  • High school diploma and 5+ years of experience supporting a busy executive team.
  • Experience in Federal Contracting.
  • Proven ability to manage heavily overscheduled calendars using Outlook.
  • Analytical thinker with problem-solving skills.
  • Experience in fast-paced and quickly changing environments.
  • Strong organizational skills.
  • Extensive experience with Microsoft Office (Outlook, Word, Excel, PowerPoint) and MS Teams.
  • Strong written and oral communication skills.
  • Willingness to build and nurture relationships across the enterprise and with key external stakeholders.
  • Initiative and creativity to improve efficiency and organization.
  • Ability to handle confidential material appropriately.
  • Ability to work outside of business hours as needed.
