About the position

Brunswick Group is seeking a highly organized and proactive individual to join our team as an Executive Assistant in our Washington, D.C. location. In this pivotal role, you will serve as an administrative business partner, providing exceptional daily support to four client-facing Partners in the firm, who may or may not be based in your local office. This position requires a firm understanding of our goals as a firm and the role of our partnership, allowing you to actively support those efforts. As you provide administrative support, you will also have the opportunity to act as a thought partner and driver of our Partners' initiatives, collaborating closely with the local Office Manager, Administrative Assistants, and the U.S. administrative team, as well as other specialists across the professional services team nationwide. The nature of this role necessitates onsite support from Monday through Friday during core hours of 9:00 am to 6:00 pm ET, with flexibility before and after these hours depending on the needs of the office. Your responsibilities will include providing seamless Executive Assistant support to appointed Partner-level staff, which involves flawlessly managing complex calendars and offering strategic administrative support to enhance the efficiency and productivity of the assigned Partners. You will need to take a proactive approach to identify and resolve potential challenges related to scheduling, travel, and other daily activities before they arise. Understanding the nature of our firm's work and how the leadership team functions is crucial for facilitating that work and coordinating effectively with other executive assistants globally. In addition to managing schedules, you will coordinate with Administrative Assistant pooled support on travel bookings and expense processing for staff. You will also serve as an informal mentor for Administrative Assistants, supporting their development opportunities as appropriate. Building strong rapport with Partners and client contacts is essential, as is responding to emails and requests in a timely manner, including outside of standard work hours when necessary. You will be expected to prioritize and manage multiple projects simultaneously, ensuring follow-through on all associated details. Participation in continuing education and training opportunities provided by the firm is encouraged, as is maintaining strong internal relationships with the U.S. and international Brunswick teams. Overall, this role is integral to the success of our Partners and the firm as a whole.

Responsibilities

  • Provide seamless Executive Assistant support to appointed Partner-level staff.
  • Flawlessly manage complex calendars and provide strategic administrative support.
  • Identify and solve potential challenges related to scheduling, travel, and daily activities proactively.
  • Coordinate with Administrative Assistant pooled support on travel bookings and expense processing.
  • Serve as an informal mentor for Administrative Assistants and support their development opportunities.
  • Understand and prioritize Partners' time to ensure they excel in their roles.
  • Build strong rapport with Partners and client contacts.
  • Respond to emails and requests in a timely fashion, including outside of standard work hours.
  • Prioritize and manage multiple projects simultaneously and follow through on all associated details.
  • Participate in continuing education and training opportunities provided by the firm.
  • Act as project manager for client teams, coordinating specific team assignments and projects.
  • Identify and execute areas of improvement to increase administrative efficiencies.
  • Draft documents, edit presentations, and assist with preparation of presentation materials for Partners or clients.
  • Provide support and coverage to the Office Manager or other administrative staff as needed.

Requirements

  • Minimum of seven (7) to nine (9) years of administrative or operations experience in a fast-paced, confidential, professional services environment.
  • Strong verbal and written communication skills.
  • Strong project management experience.
  • Detail-oriented with the ability to manage schedules seamlessly across time zones.
  • Client service orientation with discretion in handling confidential client matters.
  • Ability to work independently and strategically as a team player.
  • Excellent time management skills and ability to multi-task.
  • Resourceful problem solver with a proactive approach to duties.
  • High emotional intelligence and strong personal impact.
  • Ability to adapt to various personalities and situations.
  • Bachelor's Degree preferred.
  • Intermediate to Advanced software skills, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); email and calendar management; travel and expense management tools; video conferencing systems.
