About the position

The Executive Assistant at Kroll plays a crucial role in supporting and empowering Senior Leadership, particularly a defined group of Managing Directors (MDs). This position requires exceptional communication skills, advanced problem-solving abilities, and a strong focus on customer service. The role demands a collaborative team player who can maintain confidentiality while managing various administrative tasks and adapting to changing priorities. The Executive Assistant will be required to work in the office at least four days a week, ensuring effective support for the leadership team.

Responsibilities

  • Provide EA support to a defined group of MDs.
  • Act as MD's proxy, prioritizing emails and responding when necessary.
  • Manage Outlook calendars and contacts as required.
  • Organize all travel, visas, and entertainment in accordance with travel policy and timely expenses submission.
  • Organize and prepare for meetings, ensuring relevant documents are available and attending to logistics of meetings.
  • Liaise with Front of House for catering requirements at meetings.
  • Act as IT support for all meetings, understanding internal and external platforms.
  • Attend management meetings, take minutes/actions as required, and follow up.
  • Assist with planning and organizing client/company events.
  • Assist with budgeting for internal/external events led by MD.

Requirements

  • Four or more years of experience in a similar role supporting senior management.
  • Advanced knowledge of Microsoft products.
  • High level of interpersonal skills and ability to communicate at all levels.
  • Excellent verbal and written communication skills.
  • Proactive and confident using own initiative.
  • Strong attention to detail and high level of integrity.
  • Experience in overseeing budgets and expenses.
  • Excellent time-management skills and ability to organize and coordinate multiple concurrent projects.
  • Proficient IT skills and aptitude for learning new software and systems.
  • Flexible team player, willing to adapt to changes and unafraid of challenges.
  • Ability to maintain confidentiality of information related to the company and employees.
  • Understanding of project management.
