About the position

The Executive Assistant at Modern Technology Solutions, Inc. (MTSI) plays a crucial role in supporting government leads by managing their calendars, schedules, and communications in a fast-paced environment. This position is integral to the Front Office Group, facilitating correspondence and collaboration with various stakeholders while ensuring efficient administrative operations. The role requires a high level of organization, attention to detail, and the ability to handle classified and unclassified information effectively.

Responsibilities

  • Primary POC for government leads' calendars, daily schedule, email and cadence on multiple networks, both unclassified and classified.
  • Integral member of the program's Front Office Group, handling daily correspondence with various organizations and stakeholders.
  • Track Integrated Product Team (IPT) manning and prepare organizational charts.
  • Perform data entry functions, integrating information into required reports and presentation materials.
  • Generate and maintain training requirements, files, forms, and established file plans (paper and electronic).
  • Prepare correspondence per standard Government formats; manage facsimile, printing, copying equipment, and supplies ordering.
  • Assist with writing monthly activity reports and preparation of award write-ups and submission packages.
  • Support in the planning, preparation, editing, creation, and publication of program documentation, plans, directives, reports, and presentations.
  • Assist in establishing, implementing, and maintaining Operating Instructions (OIs) and branch documentation.
  • Verify checklists against current administrative processes and maintain a tracking system for deficiencies.
  • Order office supplies through inventory and prepare itemized lists for procurement.
  • Serve as the focal point for collecting and displaying materials for staff meetings and information exchange meetings.
  • Act as the single point to receive, coordinate, disseminate, track progress, and close all taskers in the division's Workflow Inbox.
  • Convey reminder/follow-up emails to Offices of Primary Responsibility (OPRs) to ensure task completion.
  • Archive workflow taskers and supporting documentation in SharePoint.
  • Lead administrative operations for events, including attendee lists, invitations, venue procurement, and logistics for presentations.
  • Complete travel approval requests and submit vouchers using Defense Travel System (DTS).
  • Manage files and perform additional duties as assigned.

Requirements

  • 8+ years of experience directly related to the responsibilities of the position.
  • High school diploma or equivalent (GED); a bachelor's degree is preferred.
  • Minimum of Secret security clearance with the ability to obtain a Top-Secret Security Clearance.
  • Proficient in using Microsoft products; experience with SharePoint and Confluence is preferred.
