About the position

The Executive Assistant at Ochsner Health System provides professional-level administrative support to the assigned department(s) by performing a variety of tasks essential for the smooth operation of the office. This role involves a range of responsibilities including typing, sorting, filing, photocopying, maintaining calendars, booking travel, submitting expense reports, and ordering supplies. The Executive Assistant is also responsible for creating documents such as memos and other correspondence, as well as generating reports using Microsoft Excel, Word, PowerPoint, and other software as needed. In addition to these tasks, the Executive Assistant serves as a point of contact for the department, answering calls, relaying messages, and escalating issues to the appropriate person or group. The role requires managing projects and organizing events such as lunches and meetings, ensuring that all activities are executed efficiently and effectively. The position demands a high level of professionalism and the ability to handle confidential information with discretion. To succeed in this role, the individual must possess strong organizational skills, excellent verbal and written communication abilities, and the capacity to work independently. Responsibilities

Requirements

  • High school diploma or equivalent; OR business school training required.
  • 3 years of experience in a professional administrative role required, including experience working with confidential information.
  • Proficiency in using computers, software, and web-based applications.
  • Excellent verbal and written communication skills.
  • Strong organizational skills.
  • Ability to be self-directed and work with confidential information.

Nice-to-haves

  • Associate's degree preferred.
  • Ten years of experience in an administrative role preferred.
