About the position

Bedrock Quartz is seeking a proactive, professional, and highly organized Executive Assistant to join our executive support team. This position is essential to the success of the team, as it involves working closely with three executives to ensure smooth operations and exceptional support. The ideal candidate will have a proven track record in executive administrative support and will be responsible for managing and maintaining the calendars of the executives, coordinating meetings, appointments, and travel plans to optimize time management. In addition to executive support, the role includes planning and executing internal and external meetings, setting agendas, documenting minutes, and following up on action items. The Executive Assistant will also organize company events and training sessions, coordinating logistics and catering to ensure everything runs smoothly. Office management is another key responsibility, which includes ordering and managing office supplies, overseeing office cleaning coordination, and ensuring that new hires have all necessary supplies and equipment. The position also requires arranging comprehensive travel itineraries for executives and managing employee vehicle logistics. The Executive Assistant will act as the primary contact for IT-related issues, ensuring that all communication systems are functioning effectively. A proactive approach to problem-solving is essential, as the candidate will need to identify potential issues, find solutions, and ensure follow-up on all executive-related tasks and initiatives.

Responsibilities

  • Manage and maintain the calendars of three executives, coordinating meetings, appointments, and travel plans.
  • Plan and execute internal and external meetings, including setting agendas, documenting minutes, and following up on action items.
  • Organize company events and training sessions, including coordinating logistics and catering.
  • Order and manage office supplies, oversee office cleaning coordination, and ensure new hires have all necessary supplies and equipment.
  • Arrange comprehensive travel itineraries for executives and manage employee vehicle logistics.
  • Coordinate the setup and management of the Spectrum phone system for office and mobile phones.
  • Act as the primary contact for IT-related issues and ensure all communication systems are functioning effectively.
  • Proactively identify potential issues, find solutions, and ensure follow-up on all executive-related tasks and initiatives.

Requirements

  • Proven experience as an Executive Assistant or similar high-level support role.
  • Exceptional organizational and time management skills.
  • Strong communication and interpersonal skills.
  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to multitask and prioritize effectively in a fast-paced environment.
  • Strong problem-solving skills and a proactive approach to challenges.
  • Professional demeanor and appearance.

Nice-to-haves

  • Travel planning experience (1 year preferred)
