About the position

We are seeking a highly organized and detail-oriented Executive Assistant to join our team. The ideal candidate will be responsible for providing administrative support to executive-level management and ensuring the smooth operation of the office. The ideal candidate will be responsible for managing daily administrative tasks and ensuring the smooth functioning of our office operations. As an Executive Assistant, you will report to our CEO and work closely with various departments to streamline processes and contribute to the overall productivity and efficiency of the organization. This position involves sedentary work that primarily involves sitting/standing, use of typical office equipment such as a computer, laptop, and cell phone. May include light work that includes moving objects up to 20 pounds independently or with assistance. Must have reliable transportation for in-person assignments; if you will use your own automobile- must provide proof of auto insurance.

Responsibilities

  • Provide executive support to CEO and executive-level management.
  • Handle general administrative tasks such as answering phone calls, responding to emails, and managing correspondence.
  • Coordinate and schedule meetings, appointments, and travel arrangements for senior executives and staff members.
  • Draft reports, agendas, minutes, slide decks, and other documentation for meetings and presentations.
  • Oversee office supplies inventory and place orders when necessary.
  • Develop social media posts and coordinate with WNYICC's marketing consultant.
  • Serve as the point person for maintenance, mailing, shipping, and purchasing requests.
  • Collaborate with HR to manage employee onboarding, records, attendance, and vacation schedules.
  • Liaise with external vendors, suppliers, and clients to ensure smooth business operations.
  • Conduct research and provide administrative support to various projects, as assigned.
  • Provide support and assistance to other team members as needed.
  • Provide assistance to WNYICC Teammates to ensure WNYICC maintains excellence in service delivery.

Requirements

  • Proven experience in office management or executive support roles
  • Proficiency in computer literacy, including Microsoft Office Suite, Canva, CRM
  • Excellent organizational and time management skills with the ability to prioritize tasks effectively.
  • Strong written and verbal communication skills, capable of interacting with individuals at all levels of the organization.
  • Detail-oriented and able to maintain accuracy in work.
  • Ability to maintain confidentiality and handle sensitive information with professionalism.
  • A positive attitude and exceptional interpersonal skills, coupled with a customer service-oriented approach.
  • Previous experience in working effectively in a team-oriented and collaborative environment.
