About the position

SAIC is hiring an Executive Assistant to provide executive level management and analytical support to the Special Assistant to the Under Secretary of Defense for Research and Engineering (USD(R&E)). This is an exciting position that requires close interaction with top department leadership within the Pentagon and across the Department of Defense (DoD), including Components, industry partners, academia, international partners, and associations to achieve mission goals and outcomes. The Executive Assistant will assist our customers in solving complex problems; manage meetings and schedules; plan and track travel; and increase workforce productivity through process improvement. This position is 100% on site in Arlington, VA. The Executive Assistant will manage executive schedules, coordinate visit requests, process visitor requests, and de-conflict events. They will also manage senior-level executive correspondence within the Office of the Secretary of Defense (OSD) and across the DoD. The role involves assisting government personnel with domestic and international travel to accomplish mission requirements efficiently using the Defense Travel System (DTS) in compliance with the Joint Travel Regulations (JTR). The Executive Assistant will gather information, articulate, analyze, and solve problems, visualize and present information, and provide decision support to achieve mission outcomes. Additionally, they will create and manage communications for the enterprise, group, and individuals including meeting agendas, briefings, action items, and all executive correspondence.

Responsibilities

  • Manage executive schedules and coordinate visit requests.
  • Process visitor requests and de-conflict events.
  • Manage senior-level executive correspondence within OSD and across the DoD.
  • Assist government personnel with domestic and international travel using the Defense Travel System (DTS).
  • Gather information and provide decision support to achieve mission outcomes.
  • Create and manage communications including meeting agendas, briefings, and action items.

Requirements

  • Bachelor's degree and ten (10) years of experience in a related technical field; or a Master's degree and eight (8) years of experience.
  • Military or industry Executive Assistant experience may be substituted in lieu of degree.
  • Strong problem identification and resolution skills, flexibility, and initiative.
  • Ability to communicate and work with Senior Executives, particularly experience interfacing with Senior Executive leadership in government or industry.
  • Experience writing and editing memos and correspondence.
  • Excellent MS Office skills (Word, Excel, PowerPoint).
  • Excellent organizational and interpersonal skills.
  • Familiarity with Defense Travel System.
  • Familiarity with correspondence control procedures.
  • Familiarity organizing and conducting public engagements (meetings, conferences).
